Believe it or not, the world has not abandoned Twitter, in fact, just the opposite. While Facebook and Google Plus use are declining, Twitter is gaining users globally. The average user sends a half a Tweet per day and the site has reached 360 million registered users.</p>
<p>What is Twitter, Anyway?<br />
Twitter has been called a micro-blog but I like to think of it more like a bulletin board for the world. Everything from natural disasters to in depth discussions takes place on this public forum. <a title="Protecting Your Brand Online" href="http://www.propertymanager.com/2011/09/protecting-your-brand-online/" target="_self">Brands</a> are using Twitter to <a title="4 Easy Ways to Attract More Applicants for Your Vacant Rentals " href="http://www.propertymanager.com/2011/09/4-ways-to-attract-more-applicants/" target="_self">communicate with prospects</a> and customers, provide timely customer service and even to increase revenue.</p>
<p>Conversing on Twitter:</p>
<ol>
<li>Twitter will allow you to share your messages in 140 characters or less.</li>
<li>Create user-friendly usernames: keep the name as short as possible, make it memorable, avoid punctuation. Consider something like AshleyParkRockStars, ParkPlaceCares or something that would inspire a human response.</li>
<li>Use a picture of real humans in your profile picture, perhaps in front of your community or in the leasing office.</li>
<li>When you “follow” someone, you’re essentially subscribing to their status updates.</li>
<li>Listen, look around, before you start tweeting.</li>
<li>Ask questions, reply with personality to questions that are asked.</li>
<li>Rather than following everyone at first, develop the right list of followers so that you are having real conversations with real people online.</li>
</ol>
<p>Who to follow:</p>
<ol>
<li>Follow residents and prospects</li>
<li>Follow local businesses and hometown celebrities</li>
<li>Follow employees and prospective employees</li>
<li>Search twitter for keywords including neighborhood + apartment, city + “looking for an apartment” and follow their accounts – reply to their questions if they are asking for recommendations on where to live</li>
<li>Follow your competitors – know what they’re doing and who they are talking too… while you’re at it, follow their followers too!</li>
<li>Here is a list of 100 more must-follow individuals and companies in the multifamily and apartment marketing industry (link 4).</li>

			<content:encoded><![CDATA[<p>Lean staff and busy property managers mean that proper time management in the office is more important than ever. Falling just a few days behind can result in playing catch-up for days to come, something most offices cannot afford to do.</p>
<p>Streamlining office operations can go a long way toward instituting and utilizing proper time management techniques. Below are a few time-consuming procedures that you may want to consider eliminating in order to create more free time tomorrow. While you’re at it, take a look around your office – most of us all have our own time wasters that need to be eliminated.</p>
<p>Using obsolete technology has to rank as the biggest time-waster in any office. Double posting, creating reports that aren’t available from your current software, and checking and re-checking work because of inaccurate posting can take a major chunk of your time that is better spent looking for additional clients. Older computers and dated software can waste way more time than they will ever save, and should be eliminated when possible. <a title="iPad – Beyond the Cool Factor" href="http://www.propertymanager.com/2011/07/ipad-beyond-the-cool-factor/" target="_self">Investing in newer technology</a> and more integrated software will save office staff both time and frustration.</p>
<p>Using two or three separate software programs instead of one integrated one. Do you track your tenants in one program, while using a separate accounting program for company financials? Why not simply combine them? It will eliminate duplicate data entry (a major time- waster) and create a more accurate picture of your company’s financial health.</p>
<p>Copying, stamping, and depositing rent checks. If you manage less than 25 properties, this is probably not an issue, but for those processing hundreds of checks a month, this takes up a lot of time. Instead,<a title="How to Get Your Residents To Pay Rent Online" href="http://www.propertymanager.com/2011/06/get-residents-to-pay-rent-online/" target="_self"> encourage residents to pay rent online</a> using a tenant portal. Money is deposited automatically, and tenants are provided with an automatic receipt, as well as access to their rent payment history.</p>
<p>Showing rentals to uninterested parties. Spending a few extra minutes pre-screening applicants can significantly reduce the time wasted showing properties to people with no plans to rent. Finding out a bit more about what they’re looking for, rather than explaining what you have available can help to eliminate those who are not a good fit.</p>
<p>The bottom line is that an investment in some newer technology and some common sense can have your property management office running lean and efficient on a daily basis.</p>

Before you do anything, take a brief inventory of your needs, your employee’s needs, and what you absolutely have to have. If you’re not sure what you need, take these suggestions under consideration.</p>
<p><strong>Remote Access</strong><br />
In my eyes, Remote Access is not negotiable. Being able to connect from anywhere is an absolute must these days, particularly for property management firms that traditionally deal with employees working in remote locations in different parts of town, or, in many cases, different cities and states. To ensure that all of your remote workers have the same access to the same data, invest in <a title="Web-Based Tools for Property Managers – Increase Productivity and Save Some Cash" href="http://www.propertymanager.com/2009/06/web-based-tools-for-property-managers-to-increase-productivity-and-save-money/" target="_self">web-based software</a> that is as easily accessible from Chicago as it is from Miami.</p>
<p><strong>Portals</strong><br />
Think about how much easier your job would be if tenants could log into a secure account to pay their rent, check for any messages and send in maintenance requests. Just slightly less important than remote access, tenant portals allow your tenants to become more rather than less involved with the community, as they will have instant access to resident newsletters, rental information, and can have their own rental account set up and easily accessible.</p>
<p><strong>Electronic Bill Payment</strong><br />
While companies that manufacture paper checks may not be too happy about this feature, <a title="Ditch That Rent Check: A World of Online Payment Options" href="http://www.propertymanager.com/2010/01/ditch-that-rent-check-a-world-of-online-payment-options/" target="_self">paying bills electronically</a> saves paper and toner costs, eliminates lost checks and delayed payments, and make it easy to track payments made. It also eliminates outstanding checks on your bank reconciliation, making that process a whole lot easier.</p>
<p><strong>Website Integration</strong><br />
While almost any program provides some web access, you want to look for a software program that actually integrates with your company website. True integration allows potential tenants to browse your website, take a peek at floor plans and any <a title="How Property Managers Can Use Video" href="http://www.propertymanager.com/2011/04/property-management-video/" target="_self">property videos</a> and photos you may post, and even arrange to view a specified unit. Some companies even post property diagrams where applicants can see which apartments are available and choose the unit they may be interested in. This also works well with single family homes, where an interactive map displays exactly where the home is located, allowing applicants the ability to choose whether they wish to look at the property prior to contacting leasing personnel.</p>
<p>While there are a lot of other features that may be on your ‘must have’ list, purchasing a software product with these features will eliminate the need to look at software again in the foreseeable future.</p>

<p><strong>Week 3 – Collaborate with shared documents:</strong> If you use Microsoft Office, you will notice these look a lot like Microsoft Word, Excel and Powerpoint. Because Google Docs are all web-based you can access and store all of your files from wherever you are. You can organize your files, quickly search and even upload your existing files to create a central storage point for your entire office.</p>

For our second article, we&#8217;re going to show you how to set up and use Google Calendars so you can work more efficiently and free up some valuable time.</p>
<p><strong>Week 2 &#8211; Get going on the calendars:</strong> Google Calendars can be set up once you&#8217;ve set up your Gmail account. You can access your schedule, share it with others in your office, post rental showing schedules on your website. And you can access these calendars from wherever you might be &#8211; on vacation, at home, at work or on the road.</p>

<p>The great thing about these collaboration tools from Google is that they are free and <a title="Web-Based Tools That Increase Your Productivity and Save Money" href="http://www.propertymanager.com/2009/06/web-based-tools-for-property-managers-to-increase-productivity-and-save-money/">web-based</a> so you don’t need to own special hardware or complicated software to get more efficient and more easily work with your colleagues. Here is a plan to get you started.</p>
<p><strong>Week 1 – Start with Email:</strong> Watch these videos on moving to Google Email (Gmail). You can keep your company domain name (@yourcompany.com), it is accessible from anywhere you are and you might find ways to save money by getting rid of your email servers.</p>

			<content:encoded><![CDATA[<p><strong>How can you grow your business this year without growing your staff?</strong><br />
In a recent poll conducted during an AppFolio webinar we asked property managers if they were planning to add more properties this year and if they were planning to increase their staff to accommodate an increased workload. The majority said they are planning to add more properties but only a few said they would be adding more staff. This article outlines the value of web-based software – how it can save you both time and money, and how to take the first step by moving your email from a traditional server to an online email service.</p>
<p><strong>First off, why would you even consider using web-based software? How could it save you time and money?</strong><br />
One of the best ways to understand it is to compare web-based with traditional software. Usually people think that traditional software is the best approach because once you buy it you own it…forever. And then you’re done! Zero additional investments are needed. But that isn’t always the case because there are a number of hidden costs that end up taking your time from your revenue-producing activities.</p>
<p>Some examples of these hidden costs:</p>
<ol>
<li>Installing the software takes time and often consultant resources to customize and configure the application</li>
<li>Periodic software upgrades to the newest / best version are typically not included and cost extra</li>
<li>You have to purchase licenses for everyone in your office and if you add users, you have to pay for them</li>
<li>You will need to purchase a server if you want multiple people to access the technology. Costs are installation and occasional consultant fees for fixes, upgrades, etc.</li>
<li>Training costs both time and money. Traveling to the course, paying for the course and the lost time while everyone is out of the office.</li>
<li>If you’re using a property management software, migrating the data from one system to another is expensive and time consuming.</li>
<li>Ongoing support when issues arise is typically an additional charge.</li>
</ol>
<p>The examples above are primarily illustrating the hidden dollars you have to spend for ownership of traditional software. But the biggest hidden cost is truly the time you and your staff spend when the software doesn’t work as it should or you need to train a new team member or the software needs upgrades or maintenance. This is time that you could be spending <a title="New Opportunities to Market Your Property Management Company" href="http://www.propertymanager.com/2009/07/schedule-time-to-grow-your-property-management-business/" target="_self">acquiring more properties</a>, working with owners and managing your tenants.</p>
<p><strong>How is web-based software different? Why are so many software companies moving to web-based offerings?</strong><br />
<strong></strong>With web-based software the Internet is the server. This means:</p>
<ul>
<li>Access your data from anywhere at anytime – from home, from the office, on a vacation, from your PDA device (Blackberry, iPhone, etc).</li>
<li>No longer pay extra for support and upgrades, they are usually included</li>
<li>No need to purchase, maintain or upgrade server hardware</li>
<li>Typically training is included and applications are intuitive and easy to use</li>
</ul>
<p><strong>An easy place to get started: Move to a free web-based software like Gmail.</strong><br />
Most <a title="2009 Cal NARPM Conference Video – Growing Up I Wanted to Be…" href="http://www.propertymanager.com/2009/06/2009-cal-narpm-conference-video-growing-up/" target="_self">property management professionals</a> use Microsoft Outlook for email &amp; calendaring systems. This is great while you’re in the office but once you leave, you no longer can easily access your email or calendar. It can also be expensive to pay for an email server like Microsoft Exchange so multiple people in your office can view shared calendars. When the email server goes down work often comes to a standstill – without the ability to communicate using email your staff often has to wait until the server is restored to complete important tasks. A simple first step is to move your email to an online provider like Gmail (www.gmail.com) so you will have access to your email from anywhere – work, home, vacation or on the road. Gmail is secure and easy to use and a great example of the value of web-based software. In addition, once your office is using Gmail you can set up a shared calendar that is accessible and viewable by all members of your staff. With Gmail you have the option to use the free basic service or pay a minimal fee to use your own domain (ex.yourname@yourcompany.com).</p>
<p>Best of all, it is very easy to get started. Go to www.gmail.com and select “sign up for Gmail” and you can follow the instructions provided. You will find that you can do all of the same basic email functions as it is very much like the email systems you’re accustomed to using on a daily basis. There are two main differences: 1) You can access this email and calendar from anywhere… if you’re on a beach in Hawaii with a computer with Internet access you can get your email!  2) You can potentially get rid of your email server and save some money each month.</p>
<p><strong>Here are a few suggestions on where to get started and see how using Gmail might work in your daily life. </strong><br />
If you already have an email account you can start by forwarding your emails to your Gmail account. You can get used to the Gmail interface and access your email from any location.<br />
You can automatically import your contacts into Gmail – this is a quick way to have you address book of contacts available to you from any location.<br />
You can also configure Gmail to receive email on your PDA (Blackberry, iPhone, etc) so you can access email while on the road (www.google.com/mobile).</p>
<p><strong><img class="alignright size-full wp-image-97" style="margin: 15px;" title="Google Calendar" src="http://propertymanager.com/wp-content/uploads/2009/06/img_googlecalendar_300x199.gif" alt="Google Calendar" width="300" height="199" />Taking the next step: Google Calendar</strong><br />
Now that you have a Gmail account you have more flexibility – you can receive email at Gmail.com and can access it from anywhere: home, work, vacation, blackberry / portable PDA device. And you can begin to use the calendaring function. Setting up a coordinated calendar system using the Microsoft exchange server can be very complicated but sharing Google calendars is really simple.</p>
<p>Some ideas on how you can use shared Google calendars in your office:</p>
<ol>
<li>Share calendars among your staff so everyone can see each other’s schedules. This makes it so much easier to schedule tenant or owner meeting as you can see the availability of your entire team. Simply invite other people in your office to view and collaborate using the Google calendar settings.</li>
<li>Create a shared office calendar of property showings. You could post this calendar to your website or simply use it as a tool for everyone in your office.</li>
</ol>
<p>In addition to email and calendar Google also provides the capability to create shared documents, websites and online forms – and all of these web-based tools are free.</p>
<p><strong>Paying for web-based software is similar to paying for Property Management services.</strong><br />
But why do companies pay each month for a web-based service? In fact, this is very similar to the value proposition of a property management company. Why don’t owners just manage their own properties? Because it is a service that saves the owner time and allows the owner to focus on his/her core areas of expertise which typically is not property management. Once you get started with these easy Google services you will experience how web-based services save you time and allow you the flexibility you need to run your business without increasing your staff. This is even more important during the current economic climate when you need to maximize every hour in your day. The world of software is changing and small and mid-sized businesses like property managers are in a position to take advantage of these technologies that used to be only available to larger companies.</p>
